What email reminders automatically go out to customers before and after a class or session?

Part of managing and running a business is keeping up with customer communication, schedule changes, and waiting to get paid. Our goal is minimize the time consuming details of follow ups and reminders by setting up automated notifications to confirm bookings, payments, and remind customers of upcoming classes or sessions. 

If you are on the Legit or FTW plan, you have the option to customize your brand in Settings - Branding. If you upload a logo in Settings - Info it will be displayed atop all of these emails, and the color you choose, will be the color of any buttons or hyperlinks in the email.

Below, we've included screenshots of all the types of emails that will automatically go out to your customers -- 

  • Before an event: Customers will get a booking confirmation email upon checkout on your site, or if you invite them to an event directly through Bounce House. Leading up to that event, customers will get a reminder 24 hours and 2 hours in advance. For virtual events (either with Zoom or your own link), a 5 minute reminder email will go out that emphasizes the link. 
  • Payment related: Customers who checkout for a group class will get a receipt immediately for payment. Customers who checkout for a 1:1 session will get a receipt after the event takes place. Any refunds will also issue a receipt. 
  • Updates to events: If a booked event gets rescheduled, canceled or updated, customers will get notified of this. 
  • After an event: After a booked event takes place, we will automatically send customers a Thank you email with a button to book again. 


Here are examples of confirmations, reminders and receipts that customers receive: 

Booking confirmation of a 1:1 session:

Confirmation emails go out when a customer books a session on your site, or if you directly invite a customer through the calendar. Confirmation emails go out for both individual sessions and recurring sessions that are scheduled. 


Booking confirmation of a group class

Confirmation emails for classes go out when a customer signs up for you class on your site. A receipt goes out at this time as well. 

24 hour reminder before a 1:1 session

A reminder email goes out 24 hours before a session. 

 

24 hour reminder before a class 

A reminder email goes out 24 hours before a class. 

2 hour reminder before a 1:1 session (with Zoom link) 

A reminder email goes out 2 hours before a session.

2 hour reminder before a class (with a Zoom link) 

A reminder email goes out 2 hours before a class.

5 minute reminder before a 1:1 session (with Zoom link)*  

*5 minute reminders are only sent out for sessions or classes that have a virtual link. Note that recurring meetings with the same customer will have the same Zoom link for consistency.

Thank you, book again (1 hour after time of event)

Every customer will get a thank you email an hour after the class or session takes place, inviting them to book another time with you.

Payment receipt for a 1:1 session (charged after time of event)

A receipt goes out to a customer after a session is concluded. This charge will be automatic to the credit card they put in during time of booking. 

 

Payment receipt for a group class (charged at time of booking)

A receipt goes out to a customer after they book a class.

 

Payment refund for a 1:1 session 

A receipt of refund goes out to a customer.

 

Payment refund for a group class

A receipt of refund goes out to a customer.

 

Rescheduled notification for a 1:1 session

If a session is rescheduled by you or your customer, a notification email will go out.

If a session is canceled by you or your customer, a notification email will go out.
